Guest Services Specialist

Description

The Waves RV Resort , a 55+ Luxury RV Resort, located in Naples, FL, is looking for a Guest Services Specialist. This position handles the routine office work and administrative responsibilities of the resort.

This is a full-time position. We Welcome All Applicants!

Essential Job Duties

  • Maintain a warm and friendly demeanor at all times.
  • Must be able to effectively communicate both verbally and written, with all levels of employees and guests in an attentive, friendly, courteous, and service oriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.

  • Attend all resort required meetings and trainings.
  • Maintain regular attendance in compliance with Zeman Resorts Standards, as required by scheduling, which will vary according to the needs of the resort.
  • Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and name tag.
  • Comply with Zeman Homes & Resorts Standards and regulations to encourage safe and efficient resort operations.
  • Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
  • Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary.
  • Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.
  • Must be able to cross-train in other resort related areas.
  • Must be able to maintain confidentiality of information.
  • Must be able to show initiative, including anticipating guest or operational needs.
  • Perform other duties as requested by management.

Fundamental Requirements

  • Greet and welcome all guests approaching the Front Desk in accordance with Zeman standards.
  • Maintain proper operation of the Front Desk and ensure that all resort standards are met
  • Answer guests inquiries about resort services, facilities, and hours of operation in a timely manner.
  • Ensure logging and delivery of packages, mail and messages to guests and meeting rooms.
  • Answer inquiries from guests regarding restaurants, transportation, entertainment, etc.
  • Follow all cash handling and credit policies.
  • Be aware of all rates, packages and special promotions as listed in the Red Book.
  • Be familiar with all in-house groups.
  • Be aware of closed out and restricted dates.
  • Obtain all necessary information when taking RV site reservations and follow the rate-quick quoting scenario.
  • Be familiar with hospitality terminology.
  • Have knowledge of emergency procedures and assist as needed.
  • Handle check-ins and check-outs in a friendly, efficient, and courteous manner.
  • Use proper phone and in person etiquette at all times when communicating with other employees.
  • Fully comprehend and be able to operate all relevant aspects of the Front Desk computer system.
  • Be able to perform and complete all tasks and duties in a timely and efficient manner.
  • Be able to complete an arrival and departure, reservations confirmations, deposit receipts, clear site housekeeping, check for overdue arrivals and departures. Address guest maintenance and housekeeping concerns.
  • Balance and prepare individual paperwork for closing of shift according to resort standards.
  • Maintain and market promotions and guest programs.
  • Maintain a clean work area.

Education & Experience

  • Minimum 2 years hospitality Guest Services experience preferred
  • High school diploma or equivalent required
  • Strong customer service skills
  • Computer proficiency, including the internet and Google suite; experience using RMS reservation system preferred
  • Must be able to work weekends, evenings and holidays

Physical Requirements

  • Flexible and long hours are sometimes required.
  • Light work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Ability to stand during the entire shift.

Director of Guest Experience

Description

The Waves RV Resort, a 55+ Premier RV Resort, located in Naples, FL, is looking for a Director of Guest Experience. This position is responsible for the planning, coordinating and executing of daily, weekly and monthly activities, events and excursions at the RV Resort. In addition to overseeing and handling concierge services for RV guests.

This is a full-time year around position.

Essential Job Duties

  • Plan, coordinate, attend, and manage all guest activities, events, excursions, and concierge services.
  • Prepare provisions for activities and events, including arranging for food and beverages, soliciting, and scheduling volunteers, booking entertainers, collecting ticket/sale money, etc.  Set-up and clean-up after events.
  • Create advertising materials for all guest activities, events, and offerings, such as flyers, banners, digital reels etc. Create a monthly calendar of guest offerings. Work closely with the General Manager on guest newsletter and distribute to resort guests.
  • Track event attendance, vendor utilization, income, and expenses for each activity.
  • Source vendors, entertainers, third party excursions opportunities, local community business partners, grassroots marketing, etc.
  • Assist in creating and maintaining an annual budget for resort activities.
  • Assist with ensuring all invoices are paid in a timely manner.
  • Assist with recruiting, training, and managing Guest Experience department team members and volunteers.
  • Maintain proper levels of office, activity, and event supply inventories. Ensure all equipment and supplies are kept in good condition.
  • Oversee schedule for clubhouse guest use, music / sound & lighting equipment and sport court play.
  • Support resort guests with concierge services, including answering guest questions, arranging third party services, local community recommendations and more.

Requirements

  • 2 years’ experience in hospitality Lifestyle Director preferred
  • Strong customer service and communication skills
  • Excellent organizational skills
  • Good problem solving skills
  • Previous budgeting and financial management experience.
  • Professional appearance
  • Computer proficiency, including the internet, Google suite; Publisher and Constant Contact
  • Must be able to work weekends, evenings, and holidays.
